CONTENT SUBMISSION - GUIDELINES & PROCEDURS

The following rules and guidelines are subject to change at any time. We are continually seeking ways in which we can improve our services for our clients. This particular process is of key concern in our considerations at all times. Soon to come . improvement plans include direct online account interfaces from our parent website where clients will be able to login into their account and manage just about any aspect of a development project that you can conceive of directly though the online interface. This future plan is intended to simplify this some time confusing process and control and clarify what we need from you in order to accommodate your requests. In the mean time while we work on improving this service, the following "Guidelines" represent very good GENERAL RULES that you need to follow when submitting content or maintenance request for us to perform work on your project or website.

PLEASE NOTE: that all text content MUST be submitted in an editable digital document format such as a text file, Word document, etc. Try not to use PDF's since not all of them can be copied and pasted from. We base our prices on being able to simply copy and paste your content into your web pages for further manipulation and coding. Please note that YOU are responsible for proofreading your content before submitting it. We will run a spell check and if we see errors we will of course correct them, but we aren't going to painstakingly check your work for grammar or syntax structure.

1) If possible, please submit all content for one web page together in one email. In the subject line of the email, put
something like "Content for Home Page, XXXXXX.com". In the body of the email, please describe how the attached information should be used. Be brief but clear, don't waste a lot of your time. If for some reason you have to submit partial content with more to come later, please make that crystal clear to us with your original submission.


2) For Text Content: Make sure the files you send have names that describe the content enclosed. (Ex. - a word.doc for
the home page could be named "homepagetext.doc"). Since we are going to copy and paste from the document you send, please try to select a font and type sizes that reflect how you want your text to look on the web page. We may be using a different font on the site, but at least we can see how you want the overall look to appear. It gives us a much better idea of what your vision is regarding the layout of the page.


3) For Images: If possible, please zip all the images for a web page together in one zip file and name the file something
like (for the About Us page) "aboutusimages.zip". Zip your files using Winzip or any popular zip software. Try to keep the zip files under 3 megabytes (3M) if possible. If there need to be two zip files for one page, name them "aboutusimages1.zip" and "aboutusimages2.zip", etc. If you can't zip, then just attach all the images to the same email (remember the 3M limit, you may have to do 2 emails). Also, please name the individual image files so we know what they are, such as "restaurant-bar.jpg". This is simply for clarity. Your designer may be expecting the content and has already talked with you about it, but after a few days it's hard to remember every detail of every conversation.


4) Database Spreadsheets: If we are performing a bulk data upload from a spreadsheet, you must provide a completed
.xls or .csv file. Once we have analyzed your project, we will assemble a template file with descriptive headers for each column, which you will then complete by filling the fields with the appropriate information. It is your responsibility to compile this data if requested. If you wish for us to do it for you additional fees may apply.


5) Images & Image Quality: ALL DIGITAL IMAGES MUST BE SUBMITTED IN ONE OF THE FOLLOWING DIGITAL
FORMATS; .JPG, .GIF or .TIF ... When possible, please make sure that your image files are at least 300 DPI. That way we can control the image quality when we convert them for website use. Also, please make sure that the dimensions of the digital image are LARGER than the actual size it will be when it appears on your web page. We can shrink images, but we can't enlarge them without sacrificing quality. We also provide an exclusive and complete online resource library for established clients where you can find a huge selection of popular, pre-configured images and other useful design tools. Please contact us for additional information if you wish to access these features for use in your development.


6) For Clients submitting multiple pages of content on a CD: Separate the contents for each page into a separate folder on
the CD. If you can't do that, then send a chart or list explaining what files are to be used on which page (Ex. - "Homepage images: desk1.jpg, desk2.jpg, desk3.jpg"). Some clients use a spreadsheet format for this.


7) For submitting changes to web pages (maintenance requests): please follow the same guidelines. Email changes for
each page separately OR send one email with a detailed list of the changes required broken down by page. Please provide instructions about what to do with the contents of any attachments.


8) Overall, just try and make it as clear to us as you can what should be done with what you are sending. We're good at
what we do but we're not mind readers!

IMPORTANT NOTE: Keep in mind that as we modify pages in your site, in some cases you won't see the changes until you hit your "refresh" button. Your computer stores the web pages you have visited in the Temporary Internet Files folder. When you visit a site you've been to before, your computer usually brings up the version that it has in its memory instead of downloading the page from the server - to save you time. If we have changed it since your last visit, you may need to click on the "refresh"; button (top of screen near the "home", "stop", and "favorites" buttons) to see the changes. FYI - it's a good idea to empty the Temporary Internet Files folder occasionally; it can fill up with hundreds of megs of web pages. In Internet Explorer, go to Tools - Options - click on the Delete Files button.
